Speech-Language Pathology (SLP) Fees, Payment Policies, and Guidelines

Transparent Care Rooted in Professional Integrity

At Communicating Together Therapy & Wellness Associates, we believe families deserve clarity and compassion when it comes to therapy services — including how fees are determined and what supports may be available for coverage or reimbursement.
Our goal is to make your experience smooth, transparent, and grounded in professional ethics and care.

Our Commitment to Professional Standards

In Rhonda’s practice as a registered Speech-Language Pathologist with over two decades of clinical experience (licensed since 2002), she follows the recommended fee schedule — and definitions of billable services — established by Speech-Language & Audiology Canada (SAC) and the Ontario Association of Speech-Language Pathologists and Audiologists (OSLA).

These professional guidelines help Rhonda to structure her services to provide individualized, evidence-based care for each child.

Both assessment and therapy involve much more than the time spent directly with your child — they include planning, analysis, collaboration with caregivers, and documentation that help ensure each session leads to meaningful progress.

Our Approach to Fees

In Rhonda’s practice, fees and billable services are set according to national and provincial professional recommendations and are reviewed annually to align with current standards of practice.
They reflect the value of specialized clinical expertise, individualized planning, and collaborative care that extends well beyond each session.

Given that these fees and billable services are based on professional standards, they are not negotiable.
We believe every client deserves the same level of care, professionalism, and transparency.

If you have questions about services, coverage, or funding, please contact us directly — we’re happy to help you understand your options.

Billable Services Include:

• Assessment
• Treatment
• Caregiver Training
• Team Meetings
• Phone/Email Consultations
• Preparation & Analysis
• Report Writing
• Travel Time
• Mileage (for travel to off-site appointments)
• File Copies

Payment and Receipts

  • Payment is processed at the end of each session via credit card – As part of the intake process, families enter a credit card online in our confidential, encrypted health record system, and the card is charged following each appointment. This system ensures a smooth, contactless, and secure payment process so families can focus on their child’s therapy experience.
  • Itemized receipts are provided after each session – These receipts include your therapist’s name, registration number with the College of Audiologists and Speech-Language Pathologists of Ontario (CASLPO), and a detailed record of services provided.
  • Insurance and funding – Many extended health benefit plans and some funding programs (including the Ontario Autism Program – OAP) provide partial or full reimbursement for services delivered by registered speech-language pathologists. Families can submit their itemized receipts directly to their insurance or funding provider for reimbursement.

Tax Information and Special Services

  • Speech-language pathology services are tax-exempt healthcare services.
  • Other professional services, such as court appearances or expert testimony, are billed separately and may be subject to HST.
  • Fees for court appearances follow the professional recommendations established by Speech-Language & Audiology Canada (SAC) and the Ontario Association of Speech-Language Pathologists and Audiologists (OSLA). These rates reflect the additional preparation, documentation, and professional expertise required for legal or specialized professional engagements.

Cancellations and Missed Sessions

Your appointment time is reserved specifically for you. A late cancellation or missed visit creates a gap in the therapist’s schedule that could have been used for another client.

To avoid a fee, we ask for at least 24 hours’ notice for cancellations or changes to your appointment. Clients who cancel with less than 24 hours’ notice or miss their appointment will be charged for the full session to the card on file.

Illness Exception

We understand that children can become unwell unexpectedly. To help keep our community safe, cancellations due to illness are exempt from the late cancellation fee — we simply ask that you contact us as soon as possible to reschedule.

Collaborating for Your Child’s Success

Every child’s communication journey is unique. Our role is to collaborate with you to create a supportive plan that meets your child’s goals.
We’re committed to maintaining open communication about progress, next steps, and available resources — whether within our clinic or through community and public programs.
